Checklist & Booking Timeline

Check with your vendors, everyone is different and may have their own way of doing things.
12 - 18 Months Before - Foundation
  • Define your vision and style (Check our PINTEREST BOARD for inspiration. You can also make your own board and feel free to add us to your board!)
  • Draft guest count estimate
  • Hire a wedding planner, if needed (As and onsite coordinator, I will be onsite to help with decorating, I will be there for your vendors when they arrive, check in with them as well as the bartenders to make sure everything runs smoothly. I  will also be onsite the day after to help with the cleanup. I am also here for you during the planning process, if needed). 
  • Book an Officiant (Inquire about the marriage license requirements)
  • Engagement photos (If doing)

10 - 12 Months Before - High Demand Vendors
  • Book photographer
  • Book videographer (If using)
  • Book caterer
  • Book DJ/band/musicians (if using)
  • Book florist
  • Reserve hotel room blocks (ACCOMMADATIONS)
  • Wedding dress shopping (Have fun!)

8 - 10 Months Before - Design & Guest Prep
  • Choose wedding party attire
  • Book cake designer/baker
  • Book rentals (if needed, we have a lot of décor included in the rental)
  • Send Save the Dates
  • Book hair and makeup

6 - 8 Months Before - Logistics
  • Arrange transportation (TRANSPORTATION)
  • Plan ceremony details (music, readings, vows)
  • Create gift registry
  • Book honeymoon
  • Order wedding rings
  • Plan décor extras (signage, favors, guest book)

4 - 6 Months Before - Personal Details
  • Order invitations
  • Dress alterations
  • Suit fittings​
  • Menu 
  • Plan rehearsal dinner
  • Finalize floral & design plan
  • Arrange vendor insure (not required but always good to have)

2 - 3 Months Before - Organization
  • Mail invitations (6-8 weeks before)
  • Create day-of timeline
  • Send shot list to photographer
  • Submit song requests to DJ/Band or make a playlist 
  • Marriage license 
  • Hair & Makeup trial

1 Month Before - Finalize
  • Check in with all your vendors
  • Make final vendor payments (your final venue payment is due)
  • Final guest count
  • Create seating chart and table layout, try our printable FLOOR PLANNER
  • Send a timeline when your vendors plan to arrive (So I can greet them when they arrive, and answer any questions they may have)
  • Send us a list of any ONSITE RENTALS you'd like to use
  • Apply for your LIQOUR LICENSE (if needed) You can find some info on ALCOHOL
  • Let us know how many bartenders you'd like ($30 an hour for one bartender (under 50 people attending) or $40 ($20/e) an hour for two bartenders (50+ attendees). You can pay them directly at the end of the night) and when you'd like them to arrive.
  • Confirm meals with any extra people
  • Prepare wedding day emergency kit

1 Week Before - Last minute details
  • Final dress fitting and pickup
  • Pack for honeymoon or staycation

1 Day Before - Setup/Rehearsal 
  • Create rain back up plan (if necessary)
  • Pack your vehicle
  • Rehearsal
  • Rehearsal dinner ​
  • Venue damage deposit is due
  • A copy of your Liqour License must be displayed behind the bar
  • Your alcohol receipts will need to be behind the bar as well, in an envelope
  • Pickup change for cash box
  • Arrange food/drink for both of you and your parties while you're getting ready
